How to Record GoToMeeting and View or Share it with Participants

Everything you need to know about recording meetings on GoToMeeting

It’s difficult to take notes or remember everything that was said and happened in the meeting. Often the important events of a meeting are summarized into minutes, manually. It would be a puzzle for those who could not attend the meetings to conclude what happened at the meetings. Now in a time of digital revolution and a pandemic of increasing needs, almost all meetings take place virtually through various platforms.

GoToMeeting is a platform for conducting virtual meetings and webinars. Recording of meetings or webinars is much easier on this platform which can be stored either locally or in the cloud. You can view them for future reference or even easily share them with members of your organization with just a few clicks. Let’s see how we can record, view and share meetings on GoToMeeting.

Who can record GoToMeeting?

Only organizers and co-organizers can record meetings on GoToMeeting. Participants can only use the ‘Snapshot’ feature to take still shots during the meeting. The organizer can share (if he or she chooses to) record files with attendees if they need them.

Even the organizer is controlled by an account administrator (one can be both admin and organizer). Admin controls everything from enabling or deactivating the recording function to organizers to choosing where to save the recorded files (local or in the cloud) and adding people as organizers or co-organizers, etc.

How to record GoToMeeting

Recording meetings on GoToMeeting is easy. Once you’ve joined the meeting, simply hover over the ‘RECORD’ button on the top bar of the meeting window. You will then find a ‘Start Your Recording’ button in the pop-up. Just click the button.

You will hear an audio notification saying ‘the conference will now be recorded’, confirming that the meeting is being recorded. The black and white record button will change to red and white while recording.

After your meeting is over, you can stop recording the same way you started it. Hover over the active ‘record’ button, and click the ‘Stop Your Recording’ button in the pop-up menu.

You will hear another audio notification ‘this conference is no longer being recorded’ after you click the ‘Stop Your Recording’ button.

By default, recorded files are stored in the cloud. If you are an administrator account, you can change it by logging into your admin account at GoToMeeting.

How to View or Share GoToMeeting Recordings

To view GoToMeeting recording files, open your computer’s taskbar and right click on the ‘GoToMeeting’ icon in the tray. From the available options, select ‘Preferences’.

From the GoToMeeting Preferences window, select the ‘Recording’ option from the categories section in the right pane.

In the recording tab, you will find two sections dedicated to ‘Cloud Recordings’ and ‘Local Recordings’. Click the ‘Meeting’ button in the ‘Cloud Recording’ section if you have recorded the meeting in the cloud or click the ‘Browse’ button in the ‘Local Record’ section if you are saving it locally. You will find files in the destination folder that you can view or share with anyone.

If you click on the ‘Meeting’ button (to access cloud recordings), you will be taken directly to a web page where you can find all of your meeting history. To sort recorded meetings from history, check the ‘Recorded’ button.

From the list of recorded meetings, select the meeting that you want to view or share. You will get full details along with the recorded files. You can open it or download it or share the link with anyone or even delete it if you don’t need it anymore.

You will even be notified of the recording in your registered email after file processing is complete. Following the link provided in the letter (View Interactive Meeting), you can access the recorded files.
